Reporting to the Office Manager, this role will be responsible for administrative activities related to accounts payable, vendor relationships, health and safety, and providing general organizational support.
The primary focus of the role is the local office, although support to other offices may be required from time to time.
The Office Administrator will be responsible for the following duties:
• Monitor and order office and pantry supplies
• Support onboarding including management of mobile phones (e.g. subscription) and taking care of access requirements
• Be first point of contact for vendors (including the cleaning services) and taking care of the general upkeep of the office
• Co-ordinate with accounts payables for invoices, including follow-up and archiving, preparing invoices for payment, including coding, reconciling charges and obtaining proper approvals
• Co-ordinate with tax & accounting for any site specific information
• General administrative support including sorting and distributing mail
• Monitor and order supplies, stock pantry and refrigerator as needed
• Support in the area of H&S, e.g. coordinating first aid training, ordering personal protective equipment, arranging access to auditors for site visits
• Organize staff events and other team building activities
• Special projects and other duties as assigned
Candidate Requirements
• 1-3 years administrative experience
• Must have exceptional verbal and written communications skills (in English and local language)
• Attention to detail and high level of accuracy
• Computer skills including spreadsheet (MS Office Word and Excel) and email at a proficient level
• Demonstrated multi-tasking ability and effective organizational skills in order to meet short deadlines with finite resources
• Time management skills
• Must be able to work without sponsorship
