Description

This is an exciting and challenging position with the Australian and New Zealand Chamber of Commerce in Japan (ANZCCJ/Chamber) that covers a wide range of responsibilities. This position will provide you with the opportunity to work with almost 700 ANZCCJ members and sponsors from across 15 different industries. You will also have the chance to partner with the Australian and New Zealand Embassies and the respective Ambassadors who are the patrons of the ANZCCJ. The required candidate will need to be truly international in dealing with stakeholders from Australia, New Zealand and Japan.

We are looking for an Operations Manager who has a demonstrated administrative ability, an interest in trade and business affairs along with a contextual understanding of Australia and New Zealand business. The successful applicant will also have extensive experience with event planning and a proven ability to work well in a bilingual work environment. The Operations Manager will be responsible for managing the administration of the ANZCCJ Secretariat and work closely with the Executive Director (ED) to oversee the day to day operations of the Chamber.

KEY RESPONSIBILITIES

•Support the ED and ANZCCJ Executive Council (EC) as required.
•Respond to existing membership needs and requests including managing the office phone.
•Assist with the organisation of regular Chamber functions and meetings.
•Attend Chamber events and meetings and assist as required.
•Invoicing and basic accounting support.
•Oversee certain communication channels under the direction of the ED, particularly as it relates to Japanese content.
•Write letters or translate English into Japanese for key written correspondence and assist with any translation work that the ED may require.
•Work with the ED and the legal specialists on the EC to ensure compliance with Japanese laws and regulations.
•Prepare the monthly expense reports.
•Suggest where cost saving measures can be implemented.
•Oversight of the emergency preparedness of the Chamber.
•Ad hoc Chamber duties as required.

SKILLS

•Over 3 years relevant work experience.
•Administrative skills (computer literacy in Microsoft Office and One Drive is preferred).
•Excellent command of English and Japanese both written and spoken.
•Strong customer relationship skills.
•Impeccable organisational skills with a strong eye for detail.
•Professional and flexible attitude.
•Ability to work unsupervised and with small teams and numerous stakeholders.
•Ability to work under pressure, manage projects and to meet deadlines.
•Basic accounting skills.
•Excellent problem-solving ability.
•Experience of living or studying abroad is an advantage.
•Experience in event negotiations with hotels and venues.
