The Agent Relations Manager is responsible for overseeing all international communication and activity with Official Hospitality Agents (OHA), Referral Agents (RA), Authorised Ticket Resellers (ATR’s) and overseeing the administration of all orders for the Rugby World Cup 2019 and Tokyo 2020 Olympic Games. The Agent Relations Manager will also assist with any general administrative tasks to ensure a smooth and efficient workflow.
Japanese would be useful but not essential. However, the more languages spoken the better as you will be communicating with multiple nationalities.

・Evaluate, research, and recommend relevant OHA & ATR appointments to management
・Co-ordinate OHA & ATR contract negotiations and contract signings with STH Japan legal team
・Co-ordinate invitations to OHA & ATR workshops and seminars
General Commercial Team Support:
・Work with the Commercial Support Manager to ensure smooth commercial team administration
・Support the sales team (Quotations/Presentations for potential clients)
・Assist with the management of multiple email inboxes
・Assist with updating activity reports on a weekly basis
・Assist with the distribution of inbound sales leads (emails, CRM, phone messages)
・Creating & delivering Induction Meetings to new Sales team members
・Undertake any further general administrative assistance required by the SCM
Hospitality Programme Management:
・Manage communication with International OHAs, ATR’s and RA’s by nurturing a positive relationship
・Assist OHA’s, ATR’s and RA’s with inquiries about inventory availability and/or package changes
・Manage the approval of all International OHA marketing collateral
・Monitor and improve the International OHA’s sales activity and sales strategy
・Assist with the debt collection of all International OHA payments
・Manage communication regarding International OHA order cancellations
・Manage communication of International OHA orders relating to seat allocations
・In conjunction with the ticketing department, oversee the delivery of tickets to International OHA’s
・Monitor for black market activity, maintaining a register of any unofficial activity and coordinating action and outcome with relevant rights protection teams
・Monitor the International OHA websites to ensure contractual compliance
・Attend regular review meetings with each International OHA & ATR as appropriate
Hospitality Order Management:
・Assist in the training of International OHA’s in the use of the TIMS ordering system
・Monitor the progress of International OHA orders on TIMS
・Be the one point of communication with OHA’s regarding sales orders
・Liaise with the Head of Operations on supplying data for operational fulfillment of hospitality packages
・Liaise with the Head of Ticketing on supplying data for ticket fulfilment
・Responsible for the flow of accurate information to the Finance Team for billing
・Comply with the Company’s policies and procedures
・Maintain close liaison and good working relationship with all Heads of Department
・Undertake any other responsibilities assigned by the Senior Commercial Manager
