The Tour Coordinator/Designer position being offered is a full-time role at Windows to Japan, a well-established yet continuously innovative tour company based in Kyoto City, Japan. Windows to Japan caters to luxury, HNW, and UHNW travelers and groups from overseas who are looking for wholistic and comprehensive touring in Japan.
The position is open to anyone currently living in Japan who meets the requested qualifications, and is willing to commit to a minimum of 3 years with Windows to Japan.
As a Tour Coordinator, you will take charge of tours that have been planned out by fellow Windows to Japan Designers – tours that have been confirmed and paid for, set to arrive to Japan. You will take care of these tours by being the main contact and advisory point for agents and guests, and also at times vendors/suppliers connected to the confirmed tours. You will be expected to take care of ongoing communications, fine-tune itineraries and logistics, revise pricing quotes, and be knowledgeable, flexible, and creative enough to advise, problem solve, and provide alternative ideas and suggestions when needed, all in good teamwork with the rest of the Windows to Japan Tour Team.
As a Tour Designer, you will be responsible for designing tours, crafting itineraries and pricing quotes for travelers to Japan from the ground up, meshing your own knowledge and experience of travel in Japan with the collective knowledge and experience of the Windows to Japan Tour Team. You will be expected to organize and sift through communications, notes, database entries, etc. all the while being sure to communicate well with Windows to Japan's partner agents, travelers, fellow members of the Windows to Japan Tour Team, and Windows to Japan's partner vendors/suppliers in order to hand-craft viable, attractive tours of high calibre for the discerning market we cater to with the aim of getting the offers you make confirmed and set to arrive to Japan.
As with other roles in the company, you will at times also be involved in the creation and development of new itineraries, experiences, and areas in Japan, enhancing the company and team's knowledge, along with the company and team's ability to Touch Lives, making a positive impact in local communities and within the lives of Windows to Japan's guests.
Working hours are generally Mon-Fri 9:00-18:00, excluding Japan's national holidays. However, working on weekends and holidays will be required in times of peak travel. Overtime may also be required and expected depending on workload.
Windows to Japan's office is located in Kyoto City. Any candidates must live within Kyoto City, or at least within a 45-minute commute of the office.
Windows to Japan observes all insurance and welfare conditions according to Japanese law. These topics, along with others such as salary, schedule, paid holidays, overtime, and other conditions, will be discussed directly with candidates as relevant.
Working at Windows to Japan requires a great ability to work with people of multiple backgrounds, a passion for travel and the tourism industry, a strong sense of responsibility, balanced independence, flexible and creative thinking, and a solid ability to optimistically and positively deal with pressure. Candidates must also have good communication, sales, time management, emotional intelligence, and organizational skills, and must possess good knowledge of Japan in terms of travel, logistics, and culture.
Candidates must be fluent in English, and at least conversational in Japanese (JLPT N3, or more advanced).
Candidates that are multi-lingual, who possess conversational or more advanced skills in other languages in addition to the above-mentioned English and Japanese languages, may receive preference.
Candidates must be proficient in using a computer and working within a digital environment. This includes, but is not limited to, proficiency in: typing, database usage and upkeep, word processing, data sheets including pricing and budgeting calculations, email and use of various email clients, use of team chat systems similar to Slack, Ryver, or Cliq, use of online/cloud file storage and organization services similar to Google Drive, use of meeting services such as or similar to Google Meet, Zoom, etc.
The Tour Coordinator/Designer role is a desk/office job. Please expect to spend most working hours at a computer.
NOTES:
1. Only applicants currently living in Japan on a non-tourist visa will be considered.
2. Living in Kyoto City, or being within a 45-minute commute of the office, is required.
3. A minimum commitment of 3 years is required.
4. Experience in tourism, knowledge of Japan in terms of travel and logistics are advantageous.
5. Candidates must be able to start within one month of being accepted for the role (somewhat negotiable).
